Privacy Policy

This Privacy Policy explains what information Weftwell (“Weftwell,” “we,” “us”) collects through the
weftwell.com website and the Weftwell application at app.weftwell.com, and how we handle it.
1. Information we collect
- Pilot and contact requests. When you submit our “Request a pilot” form or email us, we receive the
information you provide — such as your name, work email address, organization, program type, approximate number
of trainees, and your message.
- Application access. Access to the Weftwell application is managed through Cloudflare Access. Your email
address is processed to send login codes and control access.
- Technical and security data. Our hosting and security provider (Cloudflare) processes IP addresses,
device and browser information, and security logs to deliver the site, prevent abuse, and provide aggregate,
privacy-preserving analytics.
- Simulation activity. Practice conversations you type in the application are processed to generate
the simulated client's responses and your competency feedback (see Section 3).
- Session results (pilot). When you complete a practice session during the pilot, we record the
results centrally — scores, competency levels, module, timing, and usage information (such as hints
used and session language), together with your login identity. We also record the short AI-generated
feedback summary for the session (the overall comment and the strengths and growth points shown on your
report), so that supervisors can support your training. We do not record the text of your practice
conversations.
- Optional research studies. If you choose to enroll in a research study through the application
(using a study code), additional data is collected as described in that study's own consent screen — this
can include the full text of your practice conversations, per-turn scores and feedback, and your intake
answers, linked to a pseudonymous participant ID. This applies only if you explicitly consent to a
study; it never applies to regular use.
2. How we use information
- To respond to pilot requests and enquiries;
- To operate, secure, and improve the website and application;
- To provide the simulation, coaching, and feedback features;
- To communicate with pilot participants and institutional partners.
We do not sell personal information, and we do not use it for third-party advertising.
3. Simulation content — where it lives
Your practice transcripts and scores are stored in your own browser (local
storage on your device) — not in a Weftwell account database. You can export or delete them at any time from the
application's Settings.
To generate responses and feedback, the text of your practice conversation is transmitted
through our secure server to Anthropic, the AI provider, and processed to produce the reply. Our server
does not store the content of your conversations; its operational logs record request status only. Under
Anthropic's commercial API terms, API inputs and outputs are not used to train Anthropic's models.
During the pilot, session results (never conversation text) are also stored centrally to evaluate
and improve Weftwell — see Section 1.
Do not enter real client, patient, or other personally identifying information into the simulation.
Weftwell is a training environment; use only fictional or fully de-identified examples.
4. Service providers
- Cloudflare — website and application hosting, access management, security, and aggregate analytics;
- Anthropic — AI processing that powers the simulated clients and feedback;
- Email service providers — delivery of pilot-request and administrative email.
These providers process data under their own terms and safeguards, and only as needed to provide their services.
5. Retention
Pilot-request correspondence is retained for as long as needed to manage the enquiry and any resulting pilot
relationship. Simulation transcripts and scores remain on your device until you delete them. Centrally stored
session results are retained for the duration of the pilot and its evaluation. Security and operational logs
are retained on short, rolling schedules by our providers.
6. Your choices and rights
You may request access to, correction of, or deletion of personal information we hold about you (such as
pilot-request correspondence) by emailing [email protected]. You can
export or delete your simulation data directly in the application. Depending on where you live, you may have
additional rights under applicable law.
7. Children
Weftwell is a professional training platform and is not directed to children. We do not knowingly collect
information from anyone under 18.
8. Changes to this policy
We may update this policy from time to time. The version and effective date above will change when we do, and
the application will ask returning users to re-acknowledge material updates.
